How to export form submissions to excel?

With 123FormBuilder you can manage your submissions as you see fit in the Submissions section and export them to CSV or Excel (.xlsx format). Exporting your submissions to CSV is explained in this article. Below we will explain how to export to excel your form submissions, as follows:

1. Once logged in your 123FormBuilder account, go to the Submissions section of your form.

2. Use the drop down on the top right side of the submissions table to select Excel.

3. A lightbox will popup on screen where you may type the email address where the download will be sent to. By default, your email address associated to your 123FormBuilder account will receive the download. You may opt to include or exclude the table header by checking the box.

We do not send the excel file in the content of the email, but the link from where you can download it. This is a measure to secure your data.

4. Press Download EXCEL and wait for the email that contains the downloadable link.

If you have problems receiving emails from 123FormBuilder, try creating a white list in your email client, as explained in our documentation here.

Finally, the email with your excel export should look as in the image below.

  1. I have been using a starter plan and all of a sudden export to excel no longer functions, and I am asked to upgrade to a Gold Plan before exporting is available again. This is totally not acceptable as I am already using a paid-plan. Please fix it and allow the old function of exporting to excel via email again at once, or I have to stop paying for the starter plan immediately. After all, I have not seen a notice from your company about changing the contents of my plan.

  2. I keep getting the following message?
    “You must log into your account before exporting the message archive to EXCEL. Make sure you access the EXCEL archive in a browser where you are already logged in.”
    I am logged into my 123 account and email on the same browser.

    1. Hi Sara! This happens when you access the download link from a different browser than the one in which you are logged in to you 123FormBuilder account. For example, let’s say that you normally use browser A when working with your forms. But browser B is set as default for opening email links. The download link will not work, because it will open up in browser B, whilst you are authenticated on 123FormBuilder account in browser A. Please set that your download links are opened in that browser as well. If you still encounter that error, please drop us a line here.

  3. Can you exclude entrys from the download. I would be running reports weekly and do not want to include entries from a previous week. It would be nice to be able to use the checkbox to indicate whether you want to include that entry in the Excel or CSV download

    1. Hi Anne! You need to apply a filter to your entries. Click on Advanced search at the top of your submissions table and used the data filter (submissions from X date to Y date) to show the relevant data for your reports. After that, select them all and hit Export – Excel/CSV. In the spreadsheet you will see only the filtered entries. Here is a screenshot to guide you.

  4. Why am I getting the following message?
    “You must log into your account before exporting the message archive to EXCEL. Make sure you access the EXCEL archive in a browser where you are already logged in.”

    I am logged into my 123 account.

  5. I keep trying to export submissions to excel. When I get the email with the link, the link sends this message:

    I don’t understand what this is asking me to do? I am logged in to my account and following all the instructions exactly. Please explain?

      When downloading submissions as an Excel or CSV file, you need to be logged into both your 123FormBuilder account and your email account, in the same browser session. This requirement is an additional security feature.


  6. Can I exclude certain columns from the download? I’m not interested in columns like IP address, browser, referrer and so on.

    1. Hello Michele.

      When downloading submissions columns cannot be excluded. You can, however, manually delete the respective columns from the spreadsheet. You will be able to select a whole column containing multiple data and after pressing the Delete button, all the information from that column will disappear.

      Please note that exporting submissions can only be triggered manually. You can, however, integrate Google Drive on your form in order to have submissions directly sent to a spreadsheet. In this case the spreadsheet is automatically updated after each submission.

Is this service free?
Yes, we offer a free form builder service. Just sign up to the Basic plan and you are all set. This plan is forever free, but you are limited with a few features only, such as 5 forms per account, 100 submissions per month and you have to keep the backlink to 123FormBuilder on your forms. How many forms can I create?
It depends on the service plan you are on. Higher service plans enable more features, including more web forms for your account. If you need more forms, go to the My Account section of your account and click the upgrade button. To create an unlimited number of forms, either upgrade to the Platinum service plan or higher. Consult our features matrix for more information.
How can I publish my forms?
You can publish your forms in many ways, by using their direct URL or HTML link, embedding them with a JavaScript code, Inline HTML or iFrame, using the Facebook app or the WordPress plugin, using popups, the Blogger code snippet and many more. Once you have created and customized your form, go to the Publish section to complete your work. Read more in our documentation.
How do I change my form design?
You can change the design of your form in the Themes section, which is located in your form settings. We offer a set of more than 30 predefined form themes for your forms, but you can also create your own from scratch. You can customize the submit button, the logo and more. To apply your own stylesheets, all forms come with a custom CSS editor.
