Salesforce forms prefilling with 123FormBuilder
Welcome to the world of seamless data integration and enhanced productivity! In this guide, we will delve into the dynamic fusion of Salesforce and 123FormBuilder, unveiling the remarkable capabilities of these platforms.
Let’s explore how Salesforce form prefilling with 123FormBuilder revolutionizes data collection, amplifies efficiency, and drives unparalleled success for your business.
What Is Form Prefilling?
Form prefilling is a powerful feature that simplifies your users’ form-filling experience while leveraging data from Salesforce. When users arrive at a form, they are greeted with a seamless and personalized experience as certain fields are automatically populated with relevant information extracted from Salesforce.
Gone are the days of manually inputting repetitive data or relying on users to remember and enter their details. With form prefilling, you can eliminate errors and save valuable time for both your users and your team.
The integration between 123FormBuilder and Salesforce enables a smooth data transfer process. As users navigate to the form, specific fields are preloaded with information retrieved from Salesforce. This could include details such as name, email address, contact information, account information, or any other relevant data stored in your Salesforce database.
The benefits of form prefilling are many, including:
- It ensures data accuracy by minimizing the chances of human error during form completion.
- It enhances user experience by reducing the effort required to fill out the form, making it more convenient and user-friendly. Users can simply review and update the pre-filled information instead of starting from scratch.
Form prefilling is particularly valuable for businesses that frequently interact with existing customers or leads stored in Salesforce. It allows you to create a personalized experience for your users, saving them time and providing a seamless journey throughout the form.
Leverage the power of form prefilling to improve data integrity, enhance user satisfaction, and streamline your data collection process. With 123FormBuilder’s robust integration with Salesforce, you can unlock the full potential of form prefilling.
What Are the Benefits of Prefilling?
Prefilling forms offers numerous benefits that enhance the user experience and streamline the data collection process. Here are some key advantages of form prefilling:
- Time-saving: Prefilling forms eliminates users’ need to enter redundant information manually. Users can complete forms quickly and efficiently by automatically populating fields with relevant data, saving valuable time and effort.
- Improved accuracy: Manual data entry is prone to errors, such as typos or incorrect information. Form prefilling from a reliable data source, such as a CRM system, ensures data accuracy by reducing human errors and inconsistencies.
- Enhanced user experience: Prefilling forms provides a personalized and user-friendly experience. Users appreciate the convenience of not having to fill in repetitive information, making the form-filling process smoother and more enjoyable.
- Increased form completion rates: Long or complex forms can be discouraging for users, leading to form abandonment. Form prefilling reduces the perceived effort required, increasing the likelihood of users completing the form and submitting their information.
- Data integration: Prefilling forms from a central data source, such as a customer database or CRM system, ensures seamless data integration and consistency across different platforms or systems. It enables more accessible data analysis, reporting, and integration with other business processes.
- Customization and personalization: Form prefilling allows for personalized experiences. You can tailor the form based on the user’s previous interactions, preferences, or profile information, providing a customized journey and improving engagement.
- Streamlined workflows: Prefilled forms can be integrated into automated workflows, allowing for smoother and faster processes. For example, prefilled data can trigger follow-up actions, such as generating personalized responses or initiating specific tasks or approvals.
- Data integrity: Prefilling forms directly from a trusted data source ensures data integrity and consistency. It eliminates the risk of human error and ensures that the information entered is accurate and up to date.
By leveraging form prefilling capabilities, businesses can optimize their data collection processes, boost user satisfaction, and make more informed decisions based on accurate and reliable data.
How Many Types of Prefilling Can You Use?
123FormBuilder enables you to choose from 5 types of prefilling:
1. Custom link prefilling
This option allows you to prefill the form for users when they access it directly via its URL. The ID parameter can be passed manually (publishing different links, each with its own custom value) or automatically (using the same form link every time).
A very popular approach on custom link prefilling is through merge tags. The URL contains a variable that gets prefilled with the correct record ID, based on which the prefill information is retrieved.
In this scenario, the form will be prefilled with data based on a predefined rule set before the user accesses it (e.g., if the form is sent out through a newsletter campaign, the form data will be personalized based on the recipient).
2. Real-time prefill
This method allows you to prefill forms based on a keyword you enter or an option that you select in a predefined form field When selecting this prefilling option, you can trigger which specific bit of information will be retrieved from Salesforce.
Suppose your form includes an email field. In this case, you can prefill it with the correct address by pulling information from one of your records (such as Leads or Accounts, where that email address is already documented). This way, the form will adjust itself based on the user input.
3. Salesforce Communities prefill forms
This prefill option enables you to integrate forms in Salesforce Communities and allows community members to access the forms that have been prefilled with their own data (and which had already been embedded in Salesforce by connecting the user with their own data). For example, you can use this prefill option when managing cases, quotes, invoices, and so on.
4. Prefill dropdown with picklist values
This type of prefilling allows you to show the picklist with the option to match the form picklist data with the Salesforce picklist data. This means that when the data in Salesforce is updated in any way, the form will also adjust the data in real-time. For example, if you have a product catalog you update from Salesforce, the adjacent form will automatically adjust the data based on the freshly updated information.
5. Prefill forms embedded in any Salesforce record
It allows you to automatically populate form fields with existing data from Salesforce records when the form is accessed within the Salesforce environment.
Forms can be published inside Salesforce records through our lightning component. They can also be set to prefill with information coming from the record that is being accessed. For example, it comes in handy when you want to generate a quote about a specific client deal.
Of course, you can always mix and match these features within a form to meet your business needs and improve the customer experience, receive more submissions, save your users’ precious time, and facilitate accurate data collection.
